How do you protect your Business Checks and accounting department? Most of us have business insurance to cover everything. But what do you do with your accounting dept, or business checks during bad weather? Is it included into your business plan or procedures? What would you do if someone on the outside got ahold of your business checks? Hmm.. those are good questions. 


Looks like 2024 will be a historic year for weather. From fires, tornados, and a bad hurricane season it looks like. So you have business insurance right? Of course you do. So why not come up with a plan that will cover your business core. That would be your accounting department, with your
quickbooks checks, and supplies. 

Is your business plan or procedures including backup of your accounting program that is stored safely off site? If your computer or server is destroyed by the weather, you need to make sure you're able to get that data. You would need to do the same thing for your business checks. Make sure they are stored in an area that won't be prone to flooding, wind, or moisture. If the business checks get into the wrong hands after a storm and they were not protected, you could be at risk for fraud and would be hard to recover from. So when buying quickbooks checks, get them with the highest security and keep up with each and every check number that was issued.


Your company needs a policy to protect the accounting dept during any severe weather season. Always watch the weather and see what's coming to protect the business core. 


The policy should be like this:
 

  • If you have an abundant amount of business checks and deposit slips. Store them off site that is weather proofed.
  • Back up your accounting program to the cloud and/or encrypted drive for easy access
  • Secure your Postage Meter machine as well. Treat that like cash
  • Reconcile your checking accounts for accuracy.
  • Know how to run the business without the internet.
  • Don't forget to get your deposit slips with your checks. 

We all depend on the internet for almost everything. So make sure you can restore your data and run your business without the internet if you need to. Make a procedure for that separately. 


If you had a business loss, at least you know where you left off and you can re-start from there if you don't have internet access. Restore your data. Restoring your business after a bad storm is hard, but if you lost your data and didn't backup your data. Imagine the headache to re-create the data. So work smarter and not harder.


Since we rely on the internet for so much of our daily work. Sometimes, we may have to go old school with accounting. It worked before we had the internet, so why not now?? Every company operates differently, but the bottom line is to protect your business core and make a plan now, before it's too late. 


You will do whatever it takes to protect your family during storms, so do the same for your business as well. It will make things so much easier. If you need to replace your checks and need them quickly. Please keep in mind that it can take a few days for production, then shipping time.
